*WHO ARE YOU?* We’re seeking a reliable and friendly team member with at least 5 years of professional office management experience to fill the newly created position of Office Manager.
In this role, you’ll manage the day-to-day operations of our office as we launch new products and build out our team and facilities during the exponential growth period ahead of us.
The ideal candidate has at least 5 years of professional office management experience and an interest in using their talents to save energy and better the environment.
If you’re an Office Manager seeking a fun, dynamic, and growth-oriented team environment, we’d like to speak with you! *WHAT YOU’LL DO:* *Manage Our Offices* · Provide day-to-day administrative support for our current offices and future manufacturing facility.
· Coordinate visits with customers, partners, vendors, and prospective employees.
· Coordinate inbound and outbound shipping and mail activities.
· Maintain, monitor, and order office, laboratory, and warehouse supplies for locations and staff.
· Serve as the main point of contact for property management, utility administration, and work orders.
· Participate in the management of the company calendar to include holidays, vacation days, industry events, and annual renewals for important services and resources.
· Serve as the local contact for managing accounts payable and other accounting needs.
· Conduct research on target customers, competitive intelligence, and other beneficial activities.
· Build highly effective, collaborative, and productive relationships with colleagues, vendors, and customers.
Support Our Teams · Support the management of IT resources including file sharing systems, email systems, and more.
· Support the management of Finance, Accounting, and Human Resources activities including maintaining employee files, benefits administration, and light accounting duties such as accounts payable and receivables processing.
· Support marketing and sales staff by preparing sample boxes, entering contacts into CRM system, managing print collateral, and participating in the organization of on-site and remote events.
· Support local and national staff with travel schedules, event attendance, expense reporting, and reimbursements.
*Additional Activities* · Participate in weekly team meetings to plan schedules and prioritize projects.
· Assist in the maintenance and upkeep of business correspondence including digital and print flyers, brochures, customer forms, and client letters.
· Support partner companies on an as-needed basis.
*WHAT YOU’LL BRING:* *Education* · Associate degree or higher is preferred but not required.
*Required Experience* · Minimum of 5 years of professional office management experience.
· High proficiency with Microsoft Office products.
*Preferred Experience* · Experience using CRM systems for contact management.
*Skills* · Dependable, self-directed, and able to complete tasks with limited supervision.
· Proactive problem solver with the ability to multi-task, prioritize, and manage time effectively.
· Strong verbal and written communication skills; highly effective interpersonal skills.
· Excellent attention to detail, organization, and team collaboration skills.
*HOW YOU’LL DO IT:* *Location* · This is an in-person role located at our headquarters in Leland, North Carolina near Wilmington.
*Travel* · Minimal local travel by personal vehicle is expected.
· No overnight travel is expected.
*POSITION TYPE* · This is a full-time employee position.
· This position reports to the General Manager.
*WHAT YOU’LL RECEIVE:* *Compensation & Benefits* · Base salary starting at $40,000.
· Medical, dental, and vision benefits are available after one full month of employment and are 100% employer-paid for the employee.
Access for dependents is provided.
· 401(k) program available with company contribution and additional company and employee matching contributions.
· 3 weeks of PTO for vacation and sick leave and paid federal holidays are provided.
